Enrollment Policies

with your camper

  • Enrollment Application & Deposit:
    ONE-HALF session fee deposit must accompany Enrollment Application along with designated required forms for enrollment. Enrollment Applications without ONE-HALF deposits will not be processed.
  • Late Enrollment Fee:
    Enrollment applications and ONE-HALF deposit is expected by May 15, 2008, after that date enrollment applications are charged an additional $50 LATE ENROLLMENT FEE and the application may be wait-listed.
  • Forms & Service Fee:
    • Originals of all required forms and full camp fees and Camp Store/Laundry deposits must be submitted not later than 2 weeks prior to your camper’s session otherwise a $25 SERVICE FEE will be charged before your camper is allowed to register on the first day of the camp session. Faxed forms are not acceptable.
    • You must retain copies of all documents that you submit.
  • Session Fees Include:
    Fully qualified and trained supervision, bunk accomodation not to exceed 8 campers, counselor-to-camper ratio of at least 1 counselor to 8 campers, full daily meal service, camp T-shirt, all in-camp activities and most field trips and outings. Some field trips and outings may have an additional cost, of which you will be notified in advance.
  • All payments in U.S. dollars only.

  • Enrollment Notes:
    • Except for the 1-Week “Try It Out” Session enrollment is by 2-week sessions only.
    • To improve your chances of securing your desired session, please apply early. All applications are processed daily on a “first-come” basis.
    • Teen Session campers must be at least 14 years of age and have completed 9th grade, and no older than 16 years of age. We do not accept 14 year olds that have not completed 9th grade or 17 year olds in Teen Session.
    • Session 1, 2 & 3 campers must be not younger than 8 years of age and not older than 14 years of age on the first day of the session.
    • 1-Week “Try It Out” Session campers must be FIRST TIME CAMPERS 8, 9 or 10 years of age ONLY. Space in this session is limited. Campers in this session are permitted to stay a second week provided space is available. Session fee will revert to $1,195 total, or an additional $400.
    • Consecutive session stay-over requested after May 15, 2008 must wait for confirmation of available space.
  • Earlybird Discount:
    • An Earlybird Discount ($100) will be applied only if Earlybird Deposit ($300) was paid by Jan. 31, 2008. One Earlybird Discount per camper.
  • Refunds & Cancellation:
    Cancellation prior to a camper’s arrival must be made in writing at least 2 weeks in advance of the camper’s session for refund of pre-paid payments less a $50 cancellation fee. No refunds for partial stays or disciplinary action terminations.
  • Non-Discrimination & Compliance:
    • Camp Haiastan maintains a racial and gender non-discrimination policy toward all campers and in all activities.
    • Camp Haiastan must comply with regulations of the Massachusetts Department of Health (105 CMR 430.000) and be licensed by the Town of Franklin Board of Health. Information on 105 CMR 430.000 can be obtained at 617 983-6761.

    • Arrangements can be made for deferred fee payments upon request.

All forms must be submitted as originals. Faxed forms cannot be accepted.

Submit full payment of fees and deposits along with originals of all required forms not later than 2 weeks prior to your camper’s session to allow your camper to be on the Express Check-In List for registration and admission into camp upon your arrival (plus you avoid a $25 Service Fee).

Instructions for Registration & Admission to Camp Haiastan On the First Day of Overnight Camp:

PARENTS & CAMPERS: Please do not proceed to the lower camp until you have checked in for registration & admission

  1. Enroll:
    Each camper must be enrolled individually with all required forms and payments received in the camp office not later than 2 weeks prior to the first day of the camper’s session (see Enrollment Instructions above).
  2. Check In:
    Parents and campers must check in upon arrival at the Main Camp Office near the entrance gate NOT BEFORE 12:00 NOON OF REGISTRATION SUNDAY.
  3. Express Check-In:
    Your camper’s name will appear on this list if originals of all forms and all payments due are on file no later than 2 weeks prior. You may proceed to the Camp Nurse adjacent to the Main Camp Office for a brief meeting to review all health related forms. This is mandatory by State of Massachisetts law for all parents and campers. Following you will be issued a gate pass for the lower camp – YOUR CAMPER IS NOW REGISTERED AND ADMITTED TO THE LOWER CAMP.
  4. Registration:
    If your camper’s name does not appear on the Express Check-In list, you must first meet with the Executive Director at the Camp Main Office on a first-come-first-serve basis to submit missing required forms and or delinquent payments. Then you may proceed to the Camp Nurse adjacent to the Camp Main Office with your camper for a brief meeting to review all health related forms. This is mandatory by State of Massachusetts law for all parents and campers. Following, you will be issued a pass for the lower camp – YOUR CAMPER IS NOW REGISTERED AND ADMITTED TO THE LOWER CAMP.
